How do I book?
Thank you for your interest in booking with Big Sky Picnics. Booking a picnic with us is super simple. Head to our Book your Picnic tab to fill out our online inquiry form. Once your form is submitted, we will contact you via phone to finalize your booking. Please keep in mind that a 50% deposit is required to reserve your booking. Full payment is due 42 hours before scheduled booking.
how far in advance should I book?
Big Sky Picnics & Curated Gathering packages must be booked no later than 72 hours before your requested date and time due to possible permit requirements. A minimum of 42 hour notice is required for bookings with a food order.
The earlier you book, the greater chance that we can accommodate your desired date and location. Please do not hesitate to contact us for last minute requests. We do our best to accommodate all dates/times, but keep in mind they fill up fast!
After submitting your booking information in Book your picnic, we will contact you via phone to confirm and finalize your event details.
Please keep in mind that booking requests made on online are just requests. Your picnic/event is not confirmed until you receive a call back by Big Sky Picnics, followed by a confirmation email with your desired date/times.
You can book as early as 11:00 am and as late as 5:00 pm. If you book at 11:00 am your picnic will end at 1:00 pm. If you book at 5:00 pm your picnic will end at 7:00 pm.
wHAT HAPPENS IN BAD WEATHER?
We understand that weather is unpredictable, especially here in Montana. If we believe your reservation will need to be rescheduled due to weather related conditions, we will contact you in advance and discuss your options. There is no extra charge for rescheduling your picnic due to inclement weather.
Please be sure to check the weather prior to selecting the date of your picnic. If there is a 40% chance of rain/snow on the day of your picnic, you may reschedule, relocate your picnic to an indoor venue (of your choice). We may suggest renting our Bubble tent and make all attempts to follow through with your original reservation despite weather conditions before resorting to rescheduling. Our Bubble tent may be used in light weather, allowing you to still enjoy your day. Please note there is an extra damage deposit required for use of this tent. You will not be charged the damage deposit if returned undamaged. Big Sky Picnics wants your day to be fun and as dry as possible.
start and end time?
When scheduling your picnic we will schedule a start time and I will then meet you at the location at that starting time to check you in. You will have two hours to enjoy your picnic and then I will meet you at the end of that two hours. No need to clean up I’ll take care of that. If you need to leave before your picnic time is up please call me so I may meet you there. You are responsible for all picnic items until I arrive. You will be charged if left unattended and items are damaged or missing. If you wish to extend your time you have the option of adding more time during booking for an additional fee. What is the cancelLation/resceduling policy?
To secure your booking, Big Sky Picnics requires a deposit of 50% upfront. The final payment is due 42 hours before the event. Event setup will not occur without full payment prior.
Bookings secured with a deposit may be rescheduled 24 hours before, due to bad or severe weather or a change of mind.
We don’t offer any refunds but we will try to reschedule your picnic or issue a credit. Cancellations within 24 hours and no-shows will not be issued a credit.
can i bring my own food?
Yes, you are more than welcome to bring your own food and/or drinks. We provide bottled water for all of our picnics. For additional gourmet food and beverage options check out our Food Menu you can choose from for an additional charge provided by Waters Edge Winery & Bistro as well as Bonjour Bakery & Bistro.
Do you provide alcohol?
Unfortunately, due to restrictions and licensing, we cannot sell alcohol. You can purchase alcohol from Waters Edge Winery & Bistro and have it delivered to your picnic. All IDs will be checked before leaving the site. It is the client responsibility to check the alcohol laws of any venue or public space used for the event. It is always important to follow the rules of the location and to be responsible and respectful.
Can I smoke IN THE BUBBLE TENT/or at my picnic?
Please no smoking in the tent. The material of the tent will absorb the smoke and will be imposable to get out as well as the effects it will have on others with smoke allergies so please be respectful and don’t smoke in the tent or near the picnic setup.
